User Activity & Logs

User activity records help you establish when an account was last used and what it did. Account-change logs answer a different question: who created, changed, or removed the account. Use the user list for an activity overview and the relevant logs for the details behind it.

User Activity

The user list includes date and time information about user activity and user logins, which can be used to audit or track a user's last activity on the Files.com platform.

When using the web portal, the user list includes the following columns:

Column NameDetails
Last Login AtMost recent login time using any protocol.
Last Active AtMost recent activity time, which is the latest of most recent login, most recent API use, account enablement, or account creation. Includes activity performed using any connection method.
Last Web Login AtMost recent login time using a web browser.
Last FTP Login AtMost recent login time using the FTP or FTPS protocols.
Last SFTP Login AtMost recent login time using the SFTP or SCP protocols.
Last WebDAV Login AtMost recent login time using the WebDAV or WebDAVS protocols.
Last Desktop App Login AtMost recent login time using the Files.com Desktop App.
Last REST API Login AtMost recent login time using the Files.com REST API.
Last API Usage AtMost recent API use time, regardless of whether a session login or an API Key was used.

Session logins include cases where user credentials are managed by an external identity provider, including Active Directory or LDAP systems.

Use of an API Key will only update the Last Active At and Last API Usage At fields. Use of an SSH/SFTP Key is identical to a session login and will update the Last Login At, Last Active At, and Last SFTP Login At fields.

User Reports

Files.com provides built-in reporting for user access and activity. As with other data tables in the web interface, the Users table supports exporting. You can download a CSV report of all users for review, auditing, or record keeping.

Beyond user list exports, Files.com offers reports that capture user permissions and login history to support compliance reviews and ongoing validation of access across the site.

Account Changes

User creation, modification, and removal are tracked in the Settings Changes Logs. Logging happens regardless of the interface used, whether CLI, web interface, or one of our supported SDKs. The Settings Changes logs let you trace the history of a user account, specifically what was done to that account. For information about what a user account did, see the History logs.

At User Creation

Creating a new user is logged in the Settings Changes logs. Beyond the standard log fields of the date and the user making the change, the only information logged at the time of creation is the new user's username.

When Users Are Edited

Updating a user's settings appears in the Settings Changes logs. As soon as you save the change to a setting, it is added to the log. In addition to the standard log fields of the date and the user making the change, each log entry includes the username of the user that was edited, the setting that changed, and both the original and the new value of that setting.

When Users Are Removed

Deleting a user is logged in the Settings Changes logs. Beyond the standard log fields of the date and the user making the change, the only information logged at the time of deletion is the deleted user's username.

What Is Not Logged

Associating a user account with group memberships, API keys, SSH keys, or folder permissions is not recorded in the Settings Changes logs, because these actions do not modify the user account's own settings.
