Sharing & Inbox Activity

Sharing and receiving records answer questions about an external contact: whether they accessed a Share Link, delivered files to an Inbox, or supplied registration information. File activity and registration are separate records with different lifetimes. Start with the particular Share Link or Inbox, then identify the contact and time.

Use Usage for site-wide resource consumption. Use Reports for a site-wide inventory or an access review.

The Share Links Access Logs show the registration and file activity for the selected Share Link. Preview actions are not included in the log.

Share Link download and action records are retained for seven years from creation, including activity on links that have since been revoked. A deleted Share Link's own record has a separate seven-year period measured from deletion. Inactive Links remain available as read-only history during that period.

The table below lists the columns available in the Share Link Access Logs.

ColumnDetails
DateTime when the activity occurred.
PathPath of the file for the activity. For snapshot share links, the path will not match your Activity History.
RegistrantThe name or email of the visitor, if the Share Link requires registration.
ActionAction types such as Registration, Create, Delete, Download, etc.
SourceFor Copy or Move action types, the source file path.
DestinationFor Copy or Move action types, the destination file path.
IPThe visitor's IP address

File activity generated by external contacts using Share Links is also captured in the Site Activity History. Because it is not associated with a logged-in user, no username appears in the Site Activity History for this type of activity.

Inbox Activity

Two types of logs are available for Inboxes. Inbox Usage logs cover upload activity. Inbox Registration logs cover user registrations for the selected Inbox.

Inbox Usage

The Inbox Usage log captures upload activity for the selected Inbox. Each entry records which files were uploaded, the folder path they landed in, and the registered user responsible for the upload when the Inbox required registration.

Uploads to Inboxes also appear in the Site Activity History. Because these actions are not tied to a logged-in user, the username in the Site Activity History is blank.

Inbox upload records are retained for one year from creation. Their removal does not delete the uploaded files. Uploads also remain in History Logs for that log's separate retention period.

Inbox Registrations

The Inbox Registration log captures user registrations for the selected Inbox. Each entry records the responses the user provided to the registration form's input fields, along with the ClickWrap used for the registration when the Inbox required one.

The standard input fields on a registration form are Name, Email Address, and Company Name. When the Inbox uses a Custom Form, the field names match the Custom Form and the responses to those custom fields appear in the log.

Inbox registration records are retained for seven years from each registration's creation, then permanently removed. This applies whether the Inbox is active or deleted. Deleting an Inbox does not remove registrations immediately or restart their retention period. Inbox registrations collected through an attached Share Link follow the same period measured from creation.

Removing registration records does not delete uploaded files. Inbox upload records have a separate one-year retention period.
