In May 2026, Files.com added cross-Workspace file moves, a Partner Responsible Party, legacy subdomain preservation, User Lifecycle Rule warning emails, Share Link expiration overrides and registration improvements, GPG/PGP support on Remote Server Mounts, automatically removing empty folders after file expiration, and numerous minor updates.
Move Files between Workspaces
You can now move and copy files between Workspaces, either manually or as folders associated with an Automation or Sync. This feature is available to users working in the site's Default Workspace.

Partner Responsible Party
Designate an internal user or group as the Responsible Party for a Partner. When your site sends emails to Partner Users, copies of those messages can also route to the Responsible Party.

Legacy Migrated Subdomain Access
When you change your Files.com custom subdomain, you can now preserve the old subdomain so traffic to it redirects to the new site. This protects existing bookmarks and scripted integrations to reduce the disruption of a subdomain change.

User Lifecycle Rule Warning Emails
Send advance warning emails to affected users before a User Lifecycle Rule disables or deletes the account. Avoid disruptions and head off support calls from people trying to reach a deleted account. Emails are sent to affected users 28, 14, 7, and 1 day before the action takes effect. The option to send warning emails is disabled by default, and a Site Administrator can update existing rules to take advantage of the new capability.

Updates to Share Links
May includes three improvements to Share Links: more administrative control over expiration policy, richer registration notification emails, and Custom Form fields surfaced directly on the Access Logs.
Bypassing Site-Wide Share Link Expiration Policy
Site Administrators can exempt individual Share Links from the site-wide Share Link expiration policy. Use this when a single link needs to outlive the policy that applies to all Share Links.

Updated Share Link Registration Notification Emails
Share Link Registration Notification emails include the list of files in the share, the link's Public Description, and the link's Internal Note. No action is required to enable this new behavior; the change applies to all Share Link registration emails.

Custom Form Data in Share Link Access Logs
When a Share Link uses a Custom Form for registration, the form fields are now available in the link's Access Logs.

GPG/PGP on Remote Server Mounts
GPG Encryption, GPG Decryption, and GPG Recryption now work on Remote Server Mount folders.
Before turning this on, be aware of how uploads behave. GPG operations need access to the entire file they are operating on, so uploads to a GPG-enabled mounted folder are forced into Buffered Uploading. This is store-then-forward, not streaming encryption.

Automatically Delete Empty Folders on File Expiration
The File Expiration setting offers a Delete Empty Folders option. This instructs the site to also remove any folders left empty by expired files, working from the deepest level up. Use this for any workflow that creates a high volume of transient subfolders, like inbox submissions, call-recording drops, per-job folders from upstream systems, or any files where empty folders pile up.

Other Minor Updates
Additional updates in May include Entra ID SSO with LDAP provisioning, Custom Metadata on Remote Server Mounts, a Workspace deletion grace period, Group Admin access to per-user FTP/SFTP folder settings, modernized email templates, a path picker in the Power Automate connector, improved bulk import results with downloadable error reports, a Desktop Configuration Profile option to disable drive mounting, a Workspace switcher in the mobile apps, and a per-user password expiration override.
Improved Bulk Import Results for Users and Partners
The bulk CSV import flow for Users and Partners now displays a clearer results summary when the import finishes, breaking down successes, failures, and warnings in one place. For any rows that failed, you can download an error report as a CSV to see exactly which rows didn't import and why. This makes it easier to identify failures on a large import without comparing the result against the original file row by row.

Entra ID SSO With LDAP Provisioning
Customers using Microsoft Entra ID for SSO authentication can now use LDAP as the provisioning source for users and groups, while keeping Entra handling authentication. This allows you to use group-based whitelist and blacklist filters for provisioning in Files.com.
For organizations that need group-based access controls and are using Entra as their IdP, this is the recommended provisioning path. Learn more about Microsoft Entra ID SSO.
Custom Metadata on Remote Files and Folders
Files and folders that live on Remote Server Mounts now support the use of Custom Metadata and Priority Color. This lets you tag and prioritize files throughout your site, no matter where they are stored.

Workspace Deletion Grace Period
When a Workspace is deleted, its contents are retained for 6 days, to allow for a recovery window if a Workspace was deleted by mistake. Workspace restoration is Support-assisted. After 6 days the resources are removed and restoration is no longer possible.

Group Administrators: Manage Per-User FTP/SFTP Root and Home Folders
Group Administrators can set the per-user folders (FTP/SFTP Client Root Folder and the FTP/SFTP Client Default Home Folder) for their users.

Updated, Modern Email Templates
Every email the Files.com platform sends — notifications, lifecycle rule warnings, registration emails, password resets, and more — has been redesigned with a cleaner, more polished look. The content and delivery behavior of these emails is unchanged; only the visual design is new. No configuration changes are needed and the new styling is already in effect.

Updated Microsoft Power Automate and Logic Apps
The Files.com connector for Microsoft Power Automate and Logic Apps includes an interactive path picker on every action that accepts a file or folder path. Rather than typing paths by hand, you can browse your Files.com folder tree directly inside the connector configuration.

Disable Drive Mounting via Desktop Configuration Profile
Desktop Configuration Profiles include a new option to disable drive mounting. This is useful in two scenarios: enforcing IT or security policies that prohibit drive mounting on managed endpoints, or maximizing transfer performance by ensuring users work in the Desktop App's Fast Transfer Mode, which can be significantly faster than transferring files through a mounted drive.

Per-User Password Expiration Override
The per-user Password Expiration Override setting includes a Never Expires option, allowing an administrator to exempt a user from expiration entirely. This is particularly useful for service accounts and automation users whose credentials are managed externally, where a forced password reset would break dependent integrations.

Workspace Switcher in Mobile Apps
The Files.com Mobile App now includes a Workspace switcher. When you have access to more than one Workspace, a switcher appears in the side menu, allowing you to work in multiple Workspaces.
