Share Link Registrations

Sharing files and folders often requires tracking exactly who you're sharing with, along with when and where any transfers happen. Registrations capture information from people who visit your Share Link, such as their email address, name, and company. Custom registration forms collect other data from the visitors.

The visitor's IP address and access date are automatically collected. When a Share Link collects registration data but does not present any form fields to web visitors, the only data captured is the visitor's IP address and the date and time of their access.

Customers use Share Link Registrations to build marketing lists from gated downloads, capture order details alongside uploaded files, route uploads automatically into the right folder based on form input, and record clickwrap acceptance with the visitor's IP address and timestamp. Site-Wide Sharing Settings for Registrations

Some sharing settings are available only to site administrators because they affect the behavior of all Share Links within the site. Only site administrators can configure these settings to control how registration information is collected.

The Require registration for all Share Links setting and the Require logout from Share Links and inboxes setting define whether and how often all Share Links prompt visitors for registration information.

Requiring Registration

Site administrators have access to the site-wide sharing setting Require registration for all Share Links. The setting is disabled by default for new sites.

When Require registration for all Share Links is enabled, every Share Link requires collecting registrations.

When it is not enabled, users can customize the behavior for each Share Link they create by turning on the Require registration setting for the link.

Requiring Re-Registration

Sometimes you want to collect registration information from a visitor only once and allow them to access the same Share Link multiple times without re-entering their information. By default, a site automatically remembers a visitor when they return to the same Share Link URL.

Site administrators can activate the Require logout from Share Links and inboxes setting to force visitors to re-enter registration information every time they access a Share Link or Inbox that requires registration. When this setting is enabled, registration forms do not include a Remember me option, and visitors complete the registration each time they visit. The setting has no effect on Share Links that do not require registration.

Require logout from Share Links and inboxes is the best choice for transactional uses of Share Links or Inboxes, such as accepting details of digital orders that must be kept separate even when placed by the same customer.

Changing or Removing Registrations

A Share Link's registrations are a read-only record that lasts for as long as the link exists, even if it is disabled. You cannot change or delete existing registrations. Revoking a Share Link removes the entire history of registrations for that link. To disable a Share Link but preserve the registration history, use the Share Link settings to assign an expiration date instead of revoking.
