A Community Bank Turned a Four-Step Document Relay Into a Single Scan With Files.com
A US community and commercial bank runs dozens of branches across its regional footprint.
That footprint is where this story starts. At a community bank, customers still bring paper to the branch: an insurance policy on a mortgaged property, an insurance bill, mortgage paperwork. The bank cannot simply file those documents. An outside vendor processes them, which means every piece of paper handed across a branch counter has to make its way out of the branch and into that vendor’s systems. Getting it there was a person’s job. Automating it without installing software or issuing new logins across dozens of branches was the challenge.
Four Steps Between the Branch Counter and the Vendor
When a customer handed over a paper insurance policy or a piece of mortgage paperwork, the branch employee scanned it. Then they retrieved the scan. Then they saved it to a network share. Then they logged into the vendor’s web portal and uploaded it by hand.
That relay ran for every single document, and at peak the bank was moving dozens of documents a day through it. Each one cost minutes of a person’s attention. Each one passed through three handoffs on its way to the vendor, and at every handoff a document could sit and wait for the next step. And because every document took the same manual effort, staff time was the ceiling on how much paper the operations team could absorb.
The reason nobody had automated it is where the workflow begins: at multifunction printers in branch lobbies across the bank’s footprint, operated by bankers rather than engineers. A fix that required new software at the branches, new credentials, or new habits would fail on day one. Whatever replaced the relay had to be as simple as choosing a different destination on the scanner. It also had to do real integration work on the other end: deliver each document to the vendor’s SFTP endpoint automatically, and bring the vendor’s reports back to a folder the operations team could reach.
The bank built that path on Files.com.
The Scanner Emails Files.com
The entire branch-side change was one new scan destination. Each multifunction printer points at the email address of a dedicated Files.com Inbox, a permanent intake point that accepts files by email. A document scanned at the counter lands in a governed Files.com folder moments later. Nothing was installed at any branch, nobody received a new login, and the person at the counter presses a scan button the way they always have.
From there, Files.com Automations do the work the relay used to. Files.com holds a remote server connection to the vendor’s SFTP endpoint, and an automation routes each arriving scan straight to it. A second automation makes the return trip, pulling the vendor’s reports back into a shared folder for the loans and records team.
The bank’s systems engineering team built the workflow itself, tested it end to end with the vendor, and then expanded it device by device across additional scanners and locations.
One Scan, and the Relay Is Done
With the workflow in production, the bank replaced a four-step manual relay with a single press of a scan button.
- At peak, dozens of documents a day now travel from a branch scanner to the vendor with nobody handling them in between, eliminating dozens of repeated tasks that had each cost minutes of staff attention. The retrieve, the save to a network share, and the portal login are gone.
- Customer insurance and mortgage documents move through one controlled path from the branch scanner to the vendor, with delivery automated behind it.
- The vendor’s reports come back on their own, landing in a shared folder the operations team already uses.
The larger result is the pattern. Bringing another branch scanner into the workflow means pointing it at the Inbox address, and the bank already runs a second vendor workflow on the same scan-to-inbox design.
Every Branch Scanner Is Now a Front Door
