Data Handling and Encryption

A file's retained location does not describe every place its contents are handled. Transfers, previews, editing, configured processing, and diagnostic logs can each create or disclose information beyond the original copy. Administrators and integration owners need to understand that complete route when deciding how files may be stored, processed, and delivered.

A Remote Server Mount can keep the authoritative files on another system while Files.com transfers or processes their contents. A snapshot creates a separate copy. AI processing can send selected information to the services performing the requested work. Include those operations and their recipients when evaluating data-handling requirements, rather than relying only on the original folder's location.

Protection Throughout the File's Lifetime

Transport encryption protects a connection. Storage encryption protects retained data. GPG encryption can keep a delivered file unreadable without the recipient's private key. Choose the protection for the stage of the exchange and the systems or people that should be able to read the contents.

Encryption does not remove embedded information or narrow an authorized recipient's access to a readable copy. A preview can display a converted version while the original remains intact, and a debug log can record sensitive values exchanged by a client. The controls governing the original file and the handling of those other copies must work together.

Assess transfers and temporary processing alongside retained storage. Regional storage and routing guidance explains the configuration for geographic requirements. Once a file is delivered, the destination's controls govern its copy; ending Files.com access does not retrieve information already received.
