Artificial Intelligence and Machine Learning
Files.com AI features can read files and use account information to carry out work within their permitted access. Review their processing scope, providers, and site controls when deciding how they fit your organization's data-handling requirements.
The AI Assistant supports interactive requests within the logged-in user's permissions, while AI Tasks carry out saved work on a schedule or in response to file activity. The Model Context Protocol (MCP) Server connects external AI applications to your site. Those applications have their own terms and data-handling practices.
Privacy with AI
Files.com does not use any Site Content for training, fine-tuning, evaluating, or otherwise developing artificial intelligence (AI) or machine learning (ML) systems or models. This includes large language models (LLMs), generative AI applications, and predictive analytics.
File contents, prompts, metadata, logs, configuration data, and tool results used by the AI Assistant or AI Tasks can be processed by Files.com and its AI providers. This processing lets the AI interpret your files, reason about results, and complete the requested work.
Files.com uses only AWS, Anthropic, and OpenAI for the models and computing services that power the AI Assistant and AI Tasks. Work can run in a provider-operated execution environment or in an environment Files.com operates on AWS. Our agreements with these providers require that your data is handled in accordance with the Files.com Privacy Policy. This data-handling model applies to both the interactive assistant and unattended tasks.
Files.com employees can access chat contents for quality control and improvement of AI features. Files.com retains chat session records and messages for 30 days.
Audit Logging
The audit log records all actions the AI Assistant takes on a user's behalf under that user's account. They appear alongside the user's own direct actions with no distinction in attribution, giving administrators full visibility into AI-initiated changes.
Internal Use of AI
Files.com staff do not use AI to process customer data. Staff use of AI for internal work is governed by policies on approved tools and accounts, permitted data, and review of generated output.
Customer Control Over AI Features
Files.com is committed to making all AI features fully opt-out. Site Administrators can disable the AI Assistant by user type or turn off all AI features for the entire site.
Turning off all AI features disables the AI Assistant and existing AI Tasks and blocks the Remote MCP Server. AI Tasks require the AI Assistant to be enabled. To disable MCP servers connected through API keys, revoke the API keys used for those connections. Every new AI capability Files.com ships will include the same controls.
