Files.com offers AI capabilities to customers and applies strict controls to how customer data interacts with AI and machine learning systems.

Files.com currently offers two AI capabilities: the AI Assistant, a chat interface built into the Files.com Web App that lets logged-in users ask questions and take actions within their own permission scope, and the Model Context Protocol (MCP) Server, which lets customers connect external AI applications to their Files.com site.

Privacy with AI

Files.com does not use any Site Content for training, fine-tuning, evaluating, or otherwise developing artificial intelligence (AI) or machine learning (ML) systems or models. This includes large language models (LLMs), generative AI applications, and predictive analytics.

The AI Assistant can access metadata, logs, and configuration data within the logged-in user's permitted scope, but it does not read or transmit the contents of files stored on your site to AI providers.

Files.com uses third-party AI providers including Anthropic, OpenAI, and AWS to power the AI Assistant. Our agreements with those providers require that those providers handle customer data in accordance with the Files.com Privacy Policy.

Files.com employees can access chat contents for quality control and improvement of the AI Assistant. Files.com retains chat session records and messages for 30 days.

Audit Logging

The audit log records all actions the AI Assistant takes on a user's behalf under that user's account. They appear alongside the user's own direct actions with no distinction in attribution, giving administrators full visibility into AI-initiated changes.

Internal Use of AI

Files.com staff use AI to work faster, governed by internal policies on responsible and acceptable use. Those policies define permitted use cases, restrict what can be shared with AI platforms, and set guidelines for reviewing AI-generated output. Files.com never shares customer files with AI systems.

Customer Control Over AI Features

Files.com is committed to making all AI features fully opt-out. Site Administrators can disable the AI Assistant by user type or turn off all AI features for the entire site.

Turning off all AI features makes the AI Assistant and the Remote MCP Server unavailable to all users. To disable MCP servers connected through API keys, revoke the API keys used for those connections. Every new AI capability Files.com ships will include the same controls.
